Controls admins actually use

Access, identity and data controls in the workspace settings.

Roles and permissions

Give people admin, manager or employee roles, and keep clients in their own limited accounts.

Single sign-on

People sign in through your identity provider with SAML 2.0 or OpenID Connect, after you verify your domain. On Business and up.

Office network and location rules

Allow sign-in only from your office IP ranges on Starter and up, or only from your office network or inside a location perimeter on Business and up.

Audit log

See who added or removed people, changed roles and access rules, shared files and exported data. Kept for 30 days on Starter, 180 days on Business and 1 year on Enterprise.

Two-step sign-in and sessions

Anyone can turn on two-step sign-in and sign out other sessions. On Starter and up, admins can require two-step sign-in for everyone.

Export your data

Export your workspace's data on Starter and up. Your data stays yours.

Where these controls matter

Office-first businesses

Keep work on work premises by limiting sign-in to the office network or a location perimeter.

Growing companies

Require single sign-on so new people get an account the first time they sign in, and access follows your identity provider.

Client-facing teams

Keep client relationships on company infrastructure instead of personal phones and inboxes.

AI under admin control

AI features follow the same access rules as everything else.

  • Assist only reads conversations each person can already open.
  • Admins can switch AI off for the whole workspace at any time.
  • Clients only ever reach their own rooms.

Questions about admin & security

Does SphereOne support single sign-on (SSO)?

Yes, on Business and up. Connect any identity provider that speaks SAML 2.0 or OpenID Connect, verify your email domain, and optionally require single sign-on for everyone, with one nominated admin keeping a password as the way back in.

Can we restrict access to the office?

Yes. Limit sign-in to your office IP ranges on Starter and up, or to your office network or a location perimeter on Business and up.

Does SphereOne have an audit log?

Yes, on Starter and up. Admins can see and filter who changed what — people, roles, access rules, single sign-on, files and settings — and download it as a CSV. Starter keeps 30 days, Business 180 days and Enterprise 1 year.

Can we export our data?

Yes. Data export is on Starter and up.

What security standards does SphereOne meet?

SphereOne is built with end-to-end encryption, SOC 2 Type II, GDPR-aligned data handling and HIPAA readiness, with a 99.9% uptime SLA.
