The WhatsApp alternative your business owns.

Keep the speed of a WhatsApp group without personal phone numbers. SphereOne puts your team and your clients in rooms the company controls, with calls, files and SphereOne Assist, and brings your group history with you.

The short answer

SphereOne is a WhatsApp alternative for businesses that run work and client relationships in WhatsApp groups. Conversations belong to the company instead of employees’ phones, admins decide who joins, and clients get rooms limited to what you add them to. Each WhatsApp group’s export can be imported with its messages and, when exported with media, its photos, voice notes and documents.

Why teams switch from WhatsApp

What changes when chat, meetings, files and clients share one workspace.

Owned by the company

A WhatsApp group lives on the phones of the people in it. In SphereOne, rooms, files and history belong to the workspace, so the next account manager starts with the full record.

Admin control

Admins add and remove people, set roles, require two-step sign-in and decide where people can sign in from.

Files you can find again

Contracts, photos and voice notes sit in SphereOne Box with version history, instead of somewhere up a long chat.

Calls with room to grow

WhatsApp group calls hold up to 32 people. SphereOne meetings hold up to 300 on Business, with screen sharing and guests who join by link.

WhatsApp’s prices change and differ by region, so we link to them rather than quote them.

It’s time to switch if

  • Client and project groups live on personal phones, and history has walked out the door with someone who left.
  • Work messages arrive next to family chats late at night, and people want a line between the two.
  • You need to know who is in each client conversation and remove access when people change roles.

WhatsApp may still fit better if

  • You talk with large numbers of customers one to one: the WhatsApp Business app and platform are built for that.
  • Your clients won’t create an account. Guests can join SphereOne calls from a link, but chatting needs a client account.

Nothing is written until an admin confirms the preview, and any import can be undone.

The full WhatsApp import guide
  1. Export a WhatsApp group. WhatsApp exports one chat at a time, from a phone that is in the group. Export each group you want, then add them all to one import.
  2. Check the preview. SphereOne shows the rooms, people and message counts it found. Nothing is written yet.
  3. Decide people and rooms. Link each person to a member, invite them or keep their name only. Create each room fresh, merge it into one you have, or skip it.
  4. Import, and undo if you need to. Set a cut-off date for the day you switch. Undo removes only what the import created.

Questions about moving from WhatsApp

Is WhatsApp a good choice for business communication?

It is fast and everyone has it, but it was built for personal messaging. Accounts are personal phone numbers, the company has no admin console over employees’ groups, and history stays on individual phones. For work with colleagues and clients, a company-owned workspace controls who sees what and keeps the record when people leave.

Can I import WhatsApp group chats into SphereOne?

Yes. Export each group from a phone that is in it, with or without media, and upload the files. People are matched by phone number first, then by name, and you check every match in the preview. Imports run for workspace admins on Starter and up; on a free trial you can upload an export and see the full preview first.

Will our clients need to install an app?

To chat, a client gets a client account and can use SphereOne in the browser or the desktop app. To join a call, they only need the link.

What is the difference between WhatsApp Business and SphereOne?

WhatsApp Business lets a company talk with customers from one business number. SphereOne is where a team works together and with its clients: channels, client rooms, meetings, files and a calendar, owned by the company.
