Bring WhatsApp groups into a workspace your business owns.

Export each group from a phone that's in it and upload the files. Every group becomes a SphereOne group with its messages, photos, videos, voice notes and documents.

What comes over from WhatsApp

Each exported group becomes a group here, with its messages, photos, videos, voice notes and documents. Add as many groups as you like.

  • Each exported group, as its own group in SphereOne
  • Messages at their original times, read in the time zone the phone was set to
  • Photos, videos, voice notes and documents, when you export with media
  • People, matched by phone number first, then by name

Export a WhatsApp group

WhatsApp exports one chat at a time, from a phone that is in the group. Export each group you want, then add them all to one import.

On iPhone

  1. Open the group chat in WhatsApp.
  2. Tap the group name at the top, then Export chat.
  3. Choose Attach Media to keep photos, videos and voice notes, or Without Media for the messages only.
  4. Choose Save to Files or send it to yourself, then upload the ZIP in SphereOne under Settings › Migration › WhatsApp.

On Android

  1. Open the group chat in WhatsApp.
  2. Tap ⋮ › More › Export chat.
  3. Tap Include media to keep photos, videos and voice notes, or Without media for the messages only.
  4. Send it to yourself, by email or to Google Drive, then upload it in SphereOne under Settings › Migration › WhatsApp.

Good to know

  • WhatsApp shortens very long chats: an export keeps the newest 10,000 messages with media, or 40,000 without.
  • If the media arrives as separate files beside a .txt, put them in one ZIP together to keep them, or upload the .txt alone for the messages.
  • Disappearing and view-once messages are never exported.

How the import works

For workspace admins on Starter, Business and Enterprise. On a free trial you can upload an export and see the full preview; running the import needs a paid plan.

  • Nothing is written until an admin confirms
  • Set a cut-off date for the day you switch
  • Any import can be undone

Preview first

SphereOne reads the export and shows you the rooms, people and message counts. Nothing is written yet.

Decide people and rooms

Link each person to a member, invite them, keep their name only or leave them out. Create each room fresh, merge it into one you have, or skip it.

Import in the background

Start it when you are ready. It runs in the background, can be paused, and duplicates are skipped when you merge.

Undo if you need to

Undo removes only what the import created. Anything your team has posted since stays where it is.

Questions about importing from WhatsApp

Can we import several WhatsApp groups at once?

Yes. Export each group and add all the files to one import. Each file becomes its own group in SphereOne.

Why are older WhatsApp messages missing from the export?

WhatsApp limits an export to the newest 10,000 messages with media, or 40,000 without. Export without media if you need more of the history.

How are WhatsApp contacts matched to our team?

By phone number first, then by name. In the preview you decide for each person: link them to a member, invite them now, keep their name only, or leave them out.

Are disappearing messages included?

No. WhatsApp never exports disappearing or view-once messages.

Importing from somewhere else?
