Export with Google Takeout

Takeout exports the spaces, group chats and direct messages of the person who runs it. Add Takeouts from several people to cover more spaces.

  1. Go to takeout.google.com, signed in with your work account.
  2. Click Deselect all, then tick Google Chat only.
  3. Click Next step. Keep Send download link via email and Export once, and choose the .zip file type.
  4. Click Create export. Google emails you when it is ready, which can take a few hours.
  5. Download every ZIP from the email and upload them together in SphereOne under Settings › Migration › Google Chat.

Good to know

  • A large export arrives as several ZIPs — add all of them.
  • If Takeout is turned off for your account, a Google Workspace admin can allow it in the Admin console under Data › Data import & export › Google Takeout.

How the import works

For workspace admins on Starter, Business and Enterprise. On a free trial you can upload an export and see the full preview; running the import needs a paid plan.

  • Nothing is written until an admin confirms
  • Set a cut-off date for the day you switch
  • Any import can be undone

SphereOne reads the export and shows you the rooms, people and message counts. Nothing is written yet.

Decide people and rooms

Link each person to a member, invite them, keep their name only or leave them out. Create each room fresh, merge it into one you have, or skip it.

Import in the background

Start it when you are ready. It runs in the background, can be paused, and duplicates are skipped when you merge.

Undo if you need to

Undo removes only what the import created. Anything your team has posted since stays where it is.

No. Takeout exports the spaces, group chats and direct messages of the person who runs it. Add Takeouts from several people to cover more spaces.

Our Takeout arrived as several ZIP files. Which do we upload?

All of them, together, in one import.

Takeout is turned off for our account. What now?

A Google Workspace admin can allow it in the Admin console under Data › Data import & export › Google Takeout.
